Privacy Policy

This Privacy Policy explains how Bullpen Boss (“Bullpen Boss,” “we,” “us,” or “our”) handles information when you use the Bullpen Boss mobile application (the “App”) and the website at bullpenboss.com (the “Site”). Bullpen Boss is operated from Florida.

1. Summary

  • Team, roster, tournament, game, and pitch data you enter in the App are stored locally on your device by default. We do not operate a full Bullpen Boss cloud account that syncs your entire coaching database.
  • If you opt in, we may collect limited product improvement events about in-game pitching recommendations (what we suggested vs what you did) and pitch counts relative to safety guidelines, so we can improve the product.
  • If you join the waitlist on the Site, the information you submit is collected by our form provider (Tally).
  • We do not sell your personal information.

2. Information You Provide in the App

When you use the App, you may enter information such as:

  • Coach name and coach email (if you choose to enter them)
  • Team name, age group, and related team settings
  • Pitcher names, jersey numbers, rankings, and performance information you log (pitch counts, game outcomes, stats, arm status–related history, and similar coaching data)
  • Tournament schedules, opponents, and game details
  • Subscription or trial status stored on the device for App access features
  • Your choice to share or not share product improvement data

Roster and full game logs stay on your device through the device’s local storage for ordinary App use. If you email us for support or subscription help, we will receive whatever you include in that message.

3. Product Improvement Data (Optional)

During team setup (or later in My Team → Privacy), you can choose to share product improvement data. If you opt in, the App may send events such as:

  • Pitching recommendations shown during a live game (for example, warmup or change suggestions) and whether you followed or overrode them
  • Pitch-count milestones relative to age-based daily guidelines (for example, approaching or exceeding a recommended threshold)
  • End-of-game workload summaries (pitches thrown vs guideline max, rest days implied)

These events are used to evaluate and improve recommendations and safety guidance. They are not used to show you ads, and they are not a full backup of your team or pitch-by-pitch history.

Events may include technical identifiers (such as an install id), coach email when you provided one (used as an account key), team name, game context (inning, score, game type), and pitcher ids used inside the App. We aim to minimize unnecessary personal detail in these events.

You can turn this off anytime in the App under My Team → Privacy. After you opt out, we stop sending new product improvement events from that device.

When enabled, events may be processed by our analytics provider (currently configured for PostHog or a similar product-analytics service) acting as a service provider on our behalf.

4. Information Collected on the Website

Waitlist. If you submit the waitlist form, you provide the fields shown on the form (for example, name, email, team, and age group). That form is hosted by Tally, and responses are stored in our Tally account so we can contact you about availability and updates.

Hosting and technical logs. Our Site host and related network providers may automatically process standard technical information such as IP address, browser type, device type, pages visited, and timestamps needed to operate, secure, and diagnose the Site.

Fonts. The Site loads fonts from Google Fonts, which may receive technical request data as described in Google’s policies.

5. How We Use Information

We use information to:

  • Provide and improve the App and Site
  • Evaluate recommendation quality and pitching-guideline adherence (if you opt in)
  • Respond to support and subscription requests
  • Manage the waitlist and notify interested coaches
  • Communicate about product updates or service changes
  • Protect against misuse and comply with law

6. How We Share Information

We may share information only in these limited situations:

  • Service providers that help us run the Site, forms, or product improvement analytics (for example, hosting, Tally, and PostHog or a similar analytics provider), who process information on our behalf
  • Legal requirements, if we believe disclosure is required by law, regulation, legal process, or to protect rights, safety, or security
  • Business transfers, if Bullpen Boss is involved in a sale, merger, or similar transaction, information may be transferred as part of that deal
  • With your direction, such as when you email us and ask us to help

We do not sell personal information and we do not share it for cross-context behavioral advertising.

7. Retention

App data remains on your device until you delete it, clear App storage, or uninstall the App (subject to how your device and operating system handle local storage).

Product improvement events (if you opt in) are kept only as long as reasonably needed to improve the App, then deleted or aggregated.

Waitlist and support emails are kept only as long as reasonably needed for the purposes described above (for example, launching outreach and customer support), unless a longer period is required by law.

8. Security

We use reasonable administrative and technical measures appropriate to our current stage as a small, local-first product. No method of electronic storage or transmission is completely secure. You are responsible for controlling physical access to your device and any backups you create.

9. Your Choices

  • You can edit or delete team, roster, and tournament data inside the App (or by clearing App data / uninstalling).
  • You can opt in or out of product improvement data in the App (team setup, or My Team → Privacy).
  • You can request removal from waitlist communications by emailing kyle@bullpenboss.com.
  • You can contact us to ask what waitlist, support, or product-improvement information we hold about you, correct it, or request deletion, subject to legal exceptions.

10. Children’s Privacy

Bullpen Boss is intended for adult coaches and authorized team staff, not for children under 13 to use on their own. The App may store player names and related performance data that a coach enters for coaching purposes. We do not knowingly collect personal information directly from children under 13 through the App or Site. If you believe a child has provided personal information to us directly, contact us and we will take appropriate steps to delete it.

11. Third-Party Services

The Site and App-related workflows may use third-party services such as Tally (waitlist forms), our website host, Google Fonts, product analytics providers (when you opt in), and Apple services related to App distribution (for example, TestFlight / App Store). Those services have their own privacy practices. We encourage you to review them.

12. International Users

Bullpen Boss is operated from the United States. If you access the Site from outside the U.S., any information you submit (such as waitlist details) may be processed in the United States. Opt-in product improvement events may also be processed in the United States or regions used by our analytics provider.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the effective date. Continued use of the Site or App after changes become effective means you accept the updated Policy, to the extent permitted by law.
